Workflow
Step 1:
Generate the QTE report through Salesforce. This report will identify all members with closed books.
Step 2:
Review the report, noting the total members closed by bookkeeping and the comments available by scrolling to the right.
Step 3:
Identify members categorized as XC01, which will have a different process compared to XC02, XC03, and XC04, although they all follow the same basic steps. Extract the necessary information into a Google Sheet for assignment.
Step 4:
Navigate to Hub V2, then to Tax, select QTEs, and finally go to All QTEs. Enter the member's name (e.g., IT Tech Medic) to populate the member's data.
Step 5:
Verify the member’s status. If "Confirm" appears, it indicates that the member needs to update their tax profile. Reach out to the MRM via Slack to inform them that the QTE is ready but the member has not updated their tax profile.
Step 6:
After informing the MRM to reach out to the member, leave a note stating that such action has been taken. and then go back to the main QTE screen and assign the task to the MRM.
Step 7:
For XC01, if the member’s status is "Approve," hit the dropdown arrow and select "Refresh Calculation." then select Approve.
Step 8:
Once refreshed, approve the QTE and send it. If the member is XC02, XC03, or XC04, check the appropriate box before sending.
